Brief Summary Disco nights, particularly themed around decades, always seem to be very popular. In February 2007, Langley and Iver Rotaract Club held an 80s themed night, which consisted of a quiz, buffet food, a disco and a raffle.
Preparation Find a suitable venue for the party, and make sure it will be large enough for a bar/food area if you want to serve nibbles! Organise a committee, delegating key responsibilities for particular areas – eg. food, quiz, publicity etc. For this event, a good DJ is king! Rather than purely looking in the Yellow Pages, ask around for recommendations. A good DJ may cost around £250, so adds to the overheads. It is vital, however, to get this aspect right. Publicise the event as soon as possible, sending out e-mails and flyers. Encourage people to dress up to add to the spirit of the evening! Involve the rest of the club in the publicity stage by performing club visits. Try and include nearby clubs which may be just outside your own district. Encourage people to turn up on the night, but increase the price slightly for those tickets.

Think about what food and drink you want to serve, and perhaps buy well beforehand. Also, do you want to hire wine glasses or buy disposables? Bear in mind how many people you think might be coming and purchase accordingly! It is far too easy to buy too much! If you can, try and buy in bulk from somewhere like Costco. Calculate a price list for the bar before the event. Also, organise a float beforehand for the main door and bar.
Execution Ensure you can get access to the hall in plenty of time to setup. Again, allocate responsibilities for the evening. As well as a disco, it might be wise to include an extra element to the evening such as a themed quiz. This worked extremely well at Langley and Iver Rotaract’s event, as a disco from 7:30 until midnight would have been far too long. Serve food just before the disco starts if you wish, which gives people a chance to mingle. A raffle can also add to the occasion, and boost profits!
Outcome With 70 people attending, you can probably expect a return of £400-500, taking all costs into account.
Publicity Club visits, e-mails, newspaper publicity, word of mouth!
Finance Some outlay – mainly hall hire, DJ, food and drink, decorations.
