Key Information
Name Rotaract Speakers Night
Date Added 16 May 2008 14:17
Type Personal Development
Level Club
Brief Summary An easy to organise an evening for speakers to talk about Rotaract Projects or other projects of interest.
Preparation Consider suitable speakers - these could be Rotaractors who have taken part in Rotaract Projects, Rotarians who have taken part in interesting projects or other people linked to the Rotary family such as GSE or Foundation Scholars. Two or three speakers is ideal with an aim for the combined talks to last 1-1.5 hours as required. Invite and confirm your speakers!

Pick and book a venue - a church or village hall is ideal.

Invite local Rotaractors and particularly Rotarians and potential new Rotaractors.

Discuss technical requirements with speakers to decide if they will be using a Projector with Siides or a Powerpoint presentation etc. Many Rotary Districts have this type of equipment available to borrow.
Execution On the evening it is simply a case of setting up the venue by laying out chairs.

Providing some sort of refreshments - Tea, Coffee and biscuits is ideal as no Licence is required and costs are minimal.

The club President should introduce the speakers and Thank them for there talks at the end.

If the speakers are talking about Charitable projects a collection can be taken to make a donation to the project.
Outcome The evening will give Rotaractors ideas of the different types of projects and opportunites available to them. The talks will also highlight to Rotarians and members of the public the excellent works carried out by Rotaract and can develop new contacts for future projects or enhanced support for existing projects.
Publicity Take pictures of the event and put together a Press Release to be sent into local newspapers. Give brief details of the speakers and their topics and highlight the links between the projects and Rotaract.
Finance The only real costs are venue hire and provision of tea and coffee. Many Village or Church Halls are available at minimal cost for an evening - this cost can either be paid by the host club to keep the event 'free' to attend or covered by a small entry fee.
