Brief Summary A fun fundraising event involving childrens games, Cake, Jelly and Ice Cream  
Preparation Select and book a suitable venue such as a village hall - consider the space that will be needed for your chosen games!

If you will be running an alcohol Bar apply for your Licence in good time.

Select the party games to be played at your event - examples include, Pin the Tail on the Donkey, Wink Murder, Pass the Parcel, What's the time Mister Wolf, Musical Chairs and even colouring in competitions!

Once the games are chosen establish the rules of each game so that these can be read out before playing (there are so many variations of these types of games its important to let everyone know which version you will be playing!)

Make sure you have all required equipment for each game! For example a stereo and chairs for musical chairs and a suitable parcel for pass the parcel!

Consider how long each game will take to play! Set out a timetable for the evening including breaks for food etc.

If prizes are desired purchase simple party bags that can be filled with inexpensive goodies and awarded to game 'winners'.

A finger food buffet can be offered with standard party food of Sausage Rolls, Crisps, Cakes, Biscuits etc and the obligatory Jelly and Ice Cream! Don;t forget to consider how and where the food will need to be served!

Buy decorations for the party venue!

Complete a Risk Assesment for the Event (if required) and check the event will be covered by Rotary/Rotaract Insurance.

Most importantly advertise the time, date and venue and sell tickets in advance!! 
Execution Decorate the venue with balloons, streamers etc.

Once guests have arrived start off the games ideally using smaller groups with other attendees being the audience to scream on encouragment and advice!

Serve the food buffet mid way through the evening with maybe a second break for dessert a little later.

Be sure to reward game winners with a goody bag or certificate.



 
Outcome This evening is fantastic fun. Fundraising is achieved through ticket sales and bar profits.

The evening is particularly suitable for supporting childrens charities!  
Publicity Advertise the event to all local Rotaractors and Rotarians.

After the event send pictures and details of the amount raised together with further information about Rotaract to local newspapers and to your Rotary District for inclusion in the District Newsletter.

If you make a cheque presentation to the nominated charity be sure to get a large novelty cheque from the Bank and have a picture taken of the presentation - this can also be submitted to local press.  
Finance One advantage of this event is that costs are relatively minimal - Venue hire is required but no large outlay for a Band or DJ is needed.

Many of the games use readily available equipment or items that can be easily made (our donkey for pinning the tail on was made of cut up cereal bokes attached to a pin board.

Any prizes should be of limited value - i.e. sweets etc

The number of people attending can be used as a guide for the amount of food to purchase - keeping the catering to a buffet style means it can easily be handled by the organising club.

Ticket prices can be set to cover venue hire and food costs plus a small amount of 'profit', in the usual way Bar sales will generate further profit. Many supermarkets operate a sale or return policy for some unwanted items - confirm details before purchasing.

For further profit games can be added at additional cost - i.e. Pass the Parcel can be charged at 50p per person with a more substantial or cash prize.
